  • Every vehicle entering the Blacktop Horizon Collective detailing bay undergoes an intake examination under 5000K high-CRI inspection lamps.
  • Our technicians measure clear-coat depth across all metal panels using digital depth gauges to identify thin spots, localized factory resprays, or prior aggressive compound cuts.
  • Preexisting paint defects, including rock chips, deep crow's feet, clear-coat peeling, curbed wheel rash, and bumper scuffs, are marked and photographed in your intake manifest.
  • Should depth measurements fall below safe compounding thresholds (typically under 75 microns), we adjust to preservation-level polishing and notify you immediately prior to starting.

  • Intake condition logs: high-resolution photography and digital notes documenting paint depth, clear-coat scratches, rock chips, and existing interior wear captured before work begins.

Secure storage and data retention

Customer records and vehicle intake files are preserved in protected, encrypted environments.

  • Access control: vehicle intake files and customer records are restricted to active technicians and studio management on a strict need-to-know basis.
  • Transmission encryption: online booking submissions and intake documents are transmitted through modern TLS protocols with automated verification.
  • Retention schedules: vehicle service records and photographic condition logs are retained for active warranty records and client re-booking, then deleted upon request or after inactive intervals.

Permitted use and zero-monetization guarantee

All digital materials, including service documentation, visual imagery, detailing package specifications, and software workflows published on this domain, remain the exclusive intellectual property of Blacktop Horizon Collective LLC.

Online quotes and system pricing calculators represent standardized estimates derived from factory-spec vehicle dimensions. We reserve the right to revise service estimates upon in-person vehicle intake if non-standard modifications, severe contamination, or structural repaints are identified.

Booking acceptance & deposit protocol

Reservation confirmations, scheduling parameters, non-refundable deposit terms, and modification windows.

Section 02

A confirmed studio appointment requires complete submission of vehicle specifications, selected package tiers, and an initial booking deposit. Deposits secure a dedicated studio bay, equipment allocation, and technician scheduling.

Appointments may be rescheduled up to 48 hours before the scheduled drop-off window without forfeit of deposit. Cancellations or reschedules submitted under the 48-hour threshold forfeit the deposit to offset facility downtime and reserved technician capacity.

Deposit notice

Deposits applied to confirmed dates are non-refundable within 48 hours of scheduled drop-off. Changes must be coordinated directly through our booking portal.

Vehicle service authorization & access

Authorized operating permission, technician facility access, and handling standards during studio care.

By entrusting your vehicle to our studio facility at 5432 Deerbrooke Crk Cir, you grant certified technicians of Blacktop Horizon Collective LLC explicit legal authorization to operate, maneuver, wash, and detail the vehicle on studio grounds.

In specific instances where paint correction refinement or post-cure inspections require road testing to confirm aerodynamic stability or mechanical clearance, operation is restricted strictly to insured testing routes within immediate studio proximity.

Vehicle inspection & release terms

Mandatory pre-service baseline inspection, joint post-service sign-off, and customer collection schedules.

Section 04

Prior to chemical decontamination or surface leveling, a technician conducts a photographic and paint-depth baseline audit documenting existing rock chips, oxidized clear coat, curb rash, and trim fading. Customers review this record at intake.

Vehicles must be retrieved within three business hours of completion notification unless prior arrangements have been confirmed in writing. Unclaimed vehicles past the 24-hour mark incur a standardized studio holding fee of $45 per calendar day.

Limitation of liability & paint tolerances

Exhaustive legal parameters on delicate clear coats, pre-existing structural flaws, and liability boundaries.

Section 05

Automotive detailing and multi-stage machine compounding work directly with existing factory or aftermarket clear-coat layers. We do not accept liability for burn-through or clear-coat failure on panels with pre-existing paint degradation measuring below safe working gauge thresholds (under 85 microns).

We disclaim liability for pre-damaged vehicle emblems, loosened aftermarket film, brittle plastic clip failures, or electronic sensor glitches resulting from previous water intrusion unrelated to our studio wash cycle.

Paint tolerance stipulation

Maximum aggregate studio liability under any claim is strictly capped at the total amount billed for the individual service package performed.

Every detailing reservation reserves dedicated bay space, lighting equipment, and technician hours.

  • Reschedule or adjust your service at least 24 hours prior to vehicle drop-off without penalty.
  • Your booking can be moved to any open calendar slot within the next 60 calendar days.
  • Modifications can be initiated online via the Manage My Booking portal or by direct phone confirmation.

Late Cancellations & No-Shows

Bay Reservation Protections

Because studio bays are held exclusively for your vehicle, late changes prevent other scheduled clients from booking.

  • Cancellations submitted fewer than 24 hours before drop-off forfeit the reservation deposit.
  • Clients who fail to drop off their vehicle without prior notice are classified as no-shows and forfeit the held slot.
  • Rebooking after a missed appointment requires an updated deposit applied to the new reservation date.

Completed labor, paint depth evaluations, and allocated ceramic compounds represent dedicated resources.

  • Labor hours and specialized compounds utilized during active vehicle care are strictly non-refundable.
  • Pre-paid balances on eligible cancellations transfer in full toward any future studio package or maintenance wash.
  • Refund exceptions resulting from severe vehicle emergencies are evaluated individually by studio management.

We inspect your car together at intake to record heavy debris, hazardous materials, or excessive mud before starting.

Heavy soil, hazardous spills, or bio-matter require notice prior to arrival.
Severe pet hair or heavy mud may adjust your agreed time and labor estimate.
Loose exterior trim or fragile aftermarket accessories must be noted before wash bay entry.

Every vehicle receives a high-CRI panel scan and paint-depth readings before any rotary machine touches your clear coat.

Please remove personal items, child seats, and valuables from the cabin and cargo hold before dropping off your vehicle.

Empty the glove box and trunk if your scheduled package includes deep compartment extraction.
